AI automation with clear rules and human approval.

Varchari brings AI into your workflows where it takes work off your team's plate: reading documents, sorting emails or answering questions as an assistant. Where a fixed rule is more reliable, the rule stays.

When AI helps in a workflow.

  • Information arrives as email, PDF or free text and is read, sorted and retyped by hand.

  • Your team searches manuals, old emails and shared drives for answers, even though the knowledge exists in-house.

  • Employees already use AI tools, but without shared rules for company data.

  • You want to use AI but don't know where it pays off or what happens to your data.

What gets built.

AI building blocks in automations

Documents, emails and forms are read and classified with AI. The result feeds a fixed workflow with validation rules and a log.

AI agents with approval

Agents get defined tools and access to your systems, for example through the Model Context Protocol (MCP). A person approves changes that matter.

Internal AI assistants

An assistant answers questions based on your own documents and cites its source. It starts from a curated knowledge base.

AI adoption for teams

Together with your team, AI workflows take shape that fit the way people work, including clear rules on which data may go into which tool.

How the collaboration works.

Manageable stages with clear results – after each step, you decide how to proceed.

Traditional automation or AI?

Both have their place, and they often work together in the same workflow.

Traditional automation

A fit when …

  • data arrives structured from systems or forms
  • the same input must always give the same result
  • every step should be easy to test and trace
  • you want no per-request cost for a model

AI

A fit when …

  • text, emails or documents arrive without a fixed format
  • something needs to be classified, summarized or drafted
  • validation rules or an approval safeguard the results
  • ongoing costs depending on model and volume are acceptable

Good to know.

What is an AI agent?

An AI agent is a language model that uses tools on its own: it looks up data, creates documents or adds entries to systems. For business use, agents with narrowly defined tasks and tools work best when a person approves their changes.

What happens to our data?

Before the start, it is defined which data goes to which service. Where possible, models with processing in the EU or on your own servers are used.

Does an AI assistant need a vector database (RAG)?

Usually not. For a manageable amount of content, a curated knowledge base of structured documents is more reliable and easier to maintain. RAG pays off with very large numbers of documents that change constantly. Preparing the knowledge from PDFs, inboxes and shared drives usually takes more work than the technology.

When does AI not pay off?

When data is structured and clear rules apply. A fixed automation is then cheaper and more reliable. AI pays off for text, documents and requests that have no fixed format.

Which AI models are used?

That depends on the task, data protection and cost. Varchari is not tied to any provider. Large models via APIs are an option, as are models that run on your own servers.
